Backlink Outreach Tool That Writes, Sends and Follows Up

A backlink outreach tool finds the right person at each target site and asks for a link. BacklinksBot does the whole sequence: it finds public contacts, writes a personal email for each page, sends it from your mailbox, follows up up to two times and sorts every reply.

Why most backlink outreach gets ignored

Editors get a lot of link requests. Most of them look the same: a generic greeting, a vague compliment and a link to a page that does not fit. Those emails get deleted. The ones that get answered are short, name the exact page, and give a clear reason why the link helps that page's readers.

Writing that kind of email for every prospect is slow. That is why teams fall back on templates, and why reply rates drop. BacklinksBot writes each email for the specific page, using the strategy that fits it, so every message has a real reason to exist.

Finding the right contact

The bot looks only at public sources: contact pages, author bylines and site imprints. It does not guess private addresses or buy contact lists. If a page has an author, the email goes to the author. If not, it goes to the site's public editorial or contact address. Contacts on the global suppression list are skipped automatically.

What one outreach sequence looks like

Every message includes your sender name, your postal address and a one-click opt-out. If someone opts out, the bot stops at once and adds them to the suppression list for every campaign.

MessageWhenWhat it says
First emailDay 0, within your daily capNames the page, the reason for the link and the exact suggestion, for example a replacement for a dead link
Follow-up 1A few days later if no replyA short reminder with one new detail
Follow-up 2A few days after that if still no replyA brief last note, then the bot stops
Reply draftWhen the editor answersA drafted answer for you to send or approve
Negotiation draftIf the editor asks for changes or a feeA drafted reply, with rel="sponsored" proposed if money is involved (Growth and Agency)

Sent from your mailbox, with caps

Outreach goes out from the mailbox you connect, under your name. Replies land in that same inbox, so the relationship stays yours. Each mailbox has a daily sending cap. That keeps volume at a level a real person could send and protects your domain reputation. The bot also respects working hours, so emails do not land in the middle of the night.

Sorting replies so nothing gets lost

Replies are where links are won or lost. The bot reads each reply and sorts it: interested, asking a question, asking for changes, asking for a fee, not interested, or opt-out. Interested replies move the card to Replies. Requests for a fee or changes move it to Negotiating. On Growth and Agency, the bot drafts the answer and the negotiation reply for each case.

When a publisher asks for money, the bot explains the risk of bought links, proposes rel="sponsored" and waits for your decision. You pay the publisher directly, if you approve, within your campaign budget cap.

Approval mode or autopilot

  • Approval mode on every plan. Each first email and follow-up waits for your OK. Edit, skip or approve in batches.
  • Autopilot on Growth and Agency. Once you trust the drafts, the bot sends on its own within your caps, and you watch the board.
  • Mixed. Keep high value prospects in approval mode and let routine strategies, such as unlinked mentions, run on autopilot.

Outreach volume by plan

Each plan sets how many new outreach contacts the bot can reach in a billing period. A contact counts once, when the bot first emails that person, and follow-ups to the same contact do not count again. Deleting a contact never gives usage back, so the number on your dashboard is always the real number used.

  • Starter reaches 300 new contacts a month for one site and one active campaign, with approval mode.
  • Growth reaches 1,200 new contacts a month across 3 sites and 5 active campaigns, with autopilot, reply handling and negotiation drafts.
  • Agency reaches 5,000 new contacts a month across 15 sites and 25 active campaigns, with team roles and white label reports.
  • Daily caps spread those contacts over the month, so your mailbox never sends a sudden burst.

From outreach to a live link

Outreach is not done when the editor says yes. BacklinksBot checks the page for your link, records the anchor and rel value, and moves the card to Links live. Then it keeps monitoring, weekly on Starter and daily on Growth and Agency, and drafts a recovery email if the link disappears.

Questions people ask

What is a backlink outreach tool?

It is software that helps you contact site owners and ask for links. BacklinksBot also finds the targets and contacts, writes each email, follows up and verifies the link when it goes live.

How many follow-ups should I send?

One or two is enough. BacklinksBot sends up to two follow-ups and then stops, which keeps outreach polite and protects your reputation.

Is backlink outreach legal under CAN-SPAM and GDPR?

Business outreach is allowed when you use public business contacts, identify yourself, include your postal address and honor opt-outs. BacklinksBot does all of these in every email.

Will outreach emails hurt my email domain?

Not with sensible volume. Daily sending caps per mailbox, relevant targets and quick opt-out handling keep your sender reputation healthy.

Can I edit the emails before they go out?

Yes. In approval mode you can edit or skip every email. Autopilot on Growth and Agency sends without waiting, but you can switch back anytime.
